Telephone Reference Sheet
For Employees with Extensions


Setup your Voice Mail Box (for the first time)
1. Pick up the handset and press MSG
2. The system will then ask you for a 4-10 digit password, a name announcement and a personal greeting

     ** Be sure to include your name in your personal greeting; it does not tie the name announcement and personal greeting together.
     ** Message suggestions: Include that you are away from your desk or on another line and will call them back as soon as possible.

Changing Password, Name Announcement or Personal Greeting
1. Pick up handset and press MSG
2. When prompted, enter your password
3. Press 9, for these options
    a. Press 1 to change name announcement or personal greeting
    b. Press 2 to change your password

Access Your Messages from YOUR Telephone
1. Pick up the handset and press MSG
2. Enter your password and then press #
3. Follow remaining prompts

Access Your Messages from ANOTHER Telephone
1. Pick up the handset and press MSG
2. At the password prompt press *
3. When prompted, enter your 4-digit extension number
4. Enter your password and then press #
5. Follow remaining prompts

Calling an Extension (someone with a phone on their desk)
1. Pick up handset
2. Type in the 4-digit extension number

Placing an Outside Call
1. Pick up handset
2. Press 8
3. Type in phone number

Calling a Voice Mail Box to Leave a Message
1. Pick up the handset and press the first oval button below the program button- this is the Feature button
2. Type in 700
3. Type in the 4-digit Voice Mail Box number
4. Leave message

Placing a Call on Hold
1. While on the call, press HOLD.
2. To return to the call press the Access button (small circle button) where the call is being held.

Transferring a Call to an EXTENSION
1. While on the call, press TRANSFER
2. Type in the 4-digit extension number
3. Press TRANSFER again
    ** You may speak to the recipient first before transferring the call if desired
     a. After typing in the 4-digit extension number, wait for the recipient to pick up. Tell them about the call and then press TRANSFER again

Transferring a Call to a VOICE MAIL BOX
1. While on the call, press TRANSFER
2. Press the Feature button. (The first oval button below the Program button.)
3. Type 700
4. Type in the 4-digit mail box number
5. Press TRANSFER again
